How It Works

A structured methodology for reliable HR automation.

Deploying an AI agent for HR requires more than connecting a language model to a folder of PDFs. We follow a disciplined four-stage process so your HR and IT teams stay in control at every step.

Four Stages

01 Discover → 02 Design → 03 Build → 04 Deploy & Improve.

Every stage ends with a tangible deliverable and a clear sign-off before we move forward.

  1. 01

    Step 01

    Discover

Identify repetitive HR processes and the automation opportunities with the most value.

    • Map the enquiries and requests your team handles today
    • Review where HR knowledge lives and how current it is
    • Agree what must always stay with a person

Deliverable: A prioritised opportunity map and a recommended first use case

  2. 02

    Step 02

    Design

Design the agent experience, knowledge sources, workflows and human escalation paths.

    • Conversation design in your tone of voice
    • Approved knowledge sources and access rules
    • Workflow, approval and escalation design

Deliverable: A solution blueprint your HR and IT teams sign off before build

  3. 03

    Step 03

    Build

Build the AI solution and connect it to your approved enterprise systems.

    • Agent built in Microsoft Copilot Studio
    • Workflows in Power Automate and connectors
    • Structured testing against real HR questions

Deliverable: A working agent, tested against an agreed set of scenarios

  4. 04

    Step 04

    Deploy & Improve

Test, deploy, monitor and continuously improve the solution.

    • Controlled pilot with a defined group
    • Monitoring of answers, gaps and escalations
    • Regular knowledge and workflow updates

Deliverable: A live agent with clear ownership, reporting and an improvement plan

Technical Architecture

How an agent fits into your environment.

HumaFlow connects the channels your employees already use with your approved HR knowledge, workflow automation and human HR team.

Architecture diagram: Employees and managers interact via Microsoft Teams or SharePoint. The HumaFlow AI Agent (built with Microsoft Copilot Studio) grounds responses in approved SharePoint policies and handbooks, executes workflows via Power Automate and Microsoft Graph, connects to existing HRIS or service desk APIs, and escalates sensitive or complex cases directly to the HR team with full context and audit logs.

Starting Well

What makes a strong first HR use case.

We recommend starting with a focused pilot around one high-value process. During discovery, we assess candidate workflows against three practical criteria.

  • Agreed scope and test scenarios before any build begins
  • Tested for accuracy, citations and out-of-scope handling
  • Clear handover documentation and ownership for your team
  • High frequency, clear rules

Processes where the same questions or requests appear every week and the answer lives in an approved policy or checklist.

  • Accessible knowledge sources

Policies, handbooks or guides stored in SharePoint or structured documents that your HR team already owns.

  • Well-defined escalation boundaries

Clear agreement on which topics the agent answers directly and which situations are routed immediately to a person.

Human in the loop

AI handles the repetitive. People handle the important.

HumaFlow automates predictable HR support while making sure sensitive, ambiguous and exceptional situations reach a human HR professional — quickly and with full context. We build tools that support HR teams, not replace them.

Handled by the agent

Repetitive and predictable

  • Policy and process questions
  • Standard, well-defined requests
  • Status updates and reminders
  • Finding the right form or contact

Handed to your HR team

Judgement and care

  • Sensitive or personal matters
  • Ambiguous or unusual situations
  • Exceptions to policy
  • Any decision affecting an employee
  • Escalation by design

Every agent has defined hand-off rules, agreed with your HR team before launch.

  • Context travels with the case

When a person takes over, the conversation and details go with it — no one repeats themselves.

  • Employees can always ask for a person

The agent never stands between an employee and HR.

  • Decisions stay with people

Agents inform, prepare and route. Approvals and judgements remain human.

Security, Privacy & Governance

Responsible enterprise AI requires more than deploying a chatbot.

HR touches sensitive personal information, employment policies and real people's working lives. Security, privacy and governance are considered throughout how we scope, design, test and deploy every solution — working alongside your HR, IT and data protection teams.

  • Controlled knowledge sources

Agents answer from content you have approved — not the open internet — and show where each answer comes from.

  • Access control

Solutions are designed around your existing identity and permission model, following least-privilege principles.

  • Testing & validation

Agents are tested against realistic and out-of-scope questions before launch, and re-tested when content changes.

  • Human escalation

Clear routes to a person for sensitive, ambiguous or exceptional situations — designed in, not bolted on.

  • Governance & ownership

Defined owners for content, workflows and changes, so the agent stays accurate as policies evolve.

  • Auditability

Conversations, sources and automated actions can be logged and reviewed in line with your policies.

  • Privacy considerations

Data minimisation, retention and data-protection requirements are considered from discovery onwards.

  • Responsible AI

We don't automate decisions about hiring, performance, pay or employment. Those stay with people.

  • Your environment

Where possible, solutions run in your own Microsoft tenant, under your existing security and compliance controls.

Frequently Asked Questions

Clear answers before you book a call.

If you have a specific question about your HR processes, Microsoft environment or governance requirements, we are happy to talk it through.

What is an AI HR agent?
An AI HR agent is a conversational assistant that employees can ask HR questions in natural language — for example in Microsoft Teams. It answers using your approved HR content, can collect information for requests, trigger agreed workflows and hand over to a person when a situation needs human judgement.
Can HumaFlow work with Microsoft 365?
Yes. Our solutions are built primarily with Microsoft Copilot Studio and Power Automate, and can be made available in Teams or on SharePoint. Where possible, they run within your own Microsoft tenant.
Can an agent use our existing HR policies?
Yes. Agents can be grounded in your existing policies, handbooks and guidance — for example documents stored in SharePoint. During design we agree exactly which sources are approved, and the agent shows which source each answer comes from.
Can employees escalate issues to HR?
Always. Escalation paths are part of every design. Employees can ask for a person at any time, and the agent hands over automatically when a question is sensitive, outside its approved knowledge or needs a decision.
Can HumaFlow automate workflows?
Yes. Using Power Automate and connectors, an agent can create cases, request approvals, assign tasks, send notifications and update lists. Actions that matter — approvals, letters, changes to records — keep a person in the loop.
Can HumaFlow integrate with other systems?
Often, yes. Many HR, case management and service desk platforms offer APIs or connectors. We assess what's possible for your systems during discovery and recommend the most reliable integration approach.
Do we need to replace our existing HR systems?
No. HumaFlow adds a conversational and automation layer on top of the systems you already use. Your HRIS, payroll and case management tools remain the systems of record.
How is security handled?
Security, privacy and governance are considered throughout design and deployment: approved knowledge sources, your existing access controls, testing before launch, logging and clear ownership. We work with your IT and data protection teams to meet your internal requirements.
Can we start with a single HR use case?
Yes — and we recommend it. Starting with one well-defined, high-volume process lets you prove value safely before extending the agent to further use cases.
How does a discovery engagement work?
It starts with a conversation about your HR processes. We then map your most frequent enquiries and requests, review your knowledge sources and systems, and recommend a first use case with a clear scope, approach and success measures.
